Acceptable Use Policy

1. Purpose

This policy defines the permitted and prohibited uses of the dailyOps platform. It supplements our Terms of Service and applies to all Users and Organizations.

2. Permitted Use

dailyOps is designed exclusively for HACCP food safety compliance record-keeping. Permitted uses include:

  • Recording temperature logs, cleaning completions, lot records, and other HACCP registers
  • Managing supplier information and approval status
  • Tracking non-conformity incidents and corrective actions
  • Using AI label scanning to extract product data
  • Using the AI chat assistant for HACCP-related queries
  • Generating inspection reports and PDF exports
  • Managing team members, assigning tasks, and tracking training

3. Prohibited Activities

General Prohibitions

  • Using the platform for non-food-safety purposes
  • Uploading illegal, harmful, or offensive content
  • Attempting to access other Organizations' data
  • Impersonating another person or organization

Technical Prohibitions

  • Using automated bots or scrapers without authorization
  • Reverse engineering or decompiling the Service
  • Circumventing billing, feature gates, or usage limits
  • Interfering with or disrupting the Service

Data & Content Prohibitions

  • Sharing inspection links with unauthorized parties
  • Storing personal data unrelated to food safety
  • Uploading intentionally falsified compliance records

AI-Specific Prohibitions

  • Generating misleading or fraudulent compliance documentation
  • Relying on AI data without human verification
  • Using AI as a substitute for professional food safety training
  • Attempting prompt injection or adversarial AI manipulation

4. AI Usage Guidelines

Label Scanner

Always review AI-extracted data before confirming. Verify critical fields: expiry dates, allergens, lot numbers, and storage requirements. Report inaccurate extractions. You remain responsible for record accuracy.

Chat Assistant

AI responses are informational only. Confirm all AI-proposed actions before execution. Do not rely solely on the assistant for professional food safety decisions.

5. Resource Limits

AI scan limits and staff limits are enforced per plan tier. Excessive API usage may be throttled. If your usage significantly exceeds normal patterns, we may contact you to discuss an appropriate plan.

6. Enforcement

We take a graduated approach to violations:

  • Minor / First offense — Warning via email
  • Repeated or moderate — Temporary account suspension
  • Severe or deliberate — Immediate suspension or termination

We reserve the right to take immediate action for security threats, illegal activity, or legal liability. Suspended users may appeal within 14 days.

7. Reporting Violations

If you become aware of any violation, please report it to our support team with as much detail as possible.

8. Changes to This Policy

Material changes will be communicated via email at least 30 days before taking effect.
